3. Where information comes from
We receive information directly from you, automatically from your use of MarkAI, from our service providers, and from public posts made available through Reddit, Lemmy, Lobsters, Hacker News, the Stack Exchange Network, GitHub, DEV.to, and other platforms we may clearly identify in the service.
4. How and why we use information
- To create and secure your account, verify your email address, and provide MarkAI under our contract with you.
- To generate monitoring keywords, retrieve public conversations, rank relevance, prepare digests, and maintain your project settings under our contract with you.
- To communicate service messages, respond to support requests, prevent misuse, and improve reliability based on our legitimate interests in operating a secure B2B service.
- To administer subscriptions, payments, accounting, disputes, and legal obligations.
- To measure service performance using optional analytics only where any consent required by applicable cookie and privacy law has been obtained.
- To deliver relevant-match alerts to a Slack channel when you choose to connect and enable that integration.
5. AI processing and public platform content
MarkAI sends relevant project descriptions and portions of public posts to OpenAI to generate keywords and assess relevance. Do not submit confidential information, special-category personal data, or information you do not have the right to provide. MarkAI does not automatically publish replies or act on your behalf on third-party platforms.
6. Service providers and recipients
We disclose information only as needed to operate MarkAI, comply with law, or protect the service. Providers may include:
- OVH for infrastructure and hosting in the United Kingdom or Singapore;
- OpenAI for keyword generation and relevance analysis;
- Resend or Google for transactional and service email delivery;
- Stripe for subscription and payment processing;
- Google Analytics and Microsoft Clarity for optional analytics when enabled with any required consent;
- Slack, when you connect it, to deliver selected project names, public-post titles, links, scores, and summaries to the channel you choose; and
- professional advisers, regulators, law-enforcement bodies, or a buyer in connection with a lawful corporate transaction where necessary.
Third-party community platforms process information under their own terms and privacy policies.
7. Cookies and analytics
MarkAI uses essential cookies and similar storage for authentication, security, sessions, form protection, and remembering your cookie choices. These are necessary for the service to work and cannot be disabled through our preferences dialog.
If you consent, MarkAI may use Google Analytics and Microsoft Clarity to understand how visitors use the website and service. Optional analytics are disabled by default and must not be activated unless you choose to enable them.
We store your choice in the first-party markai_cookie_preferences cookie for up to 180 days. You can accept, reject, or change optional analytics at any time using the control in the website footer or dashboard menu. Withdrawing consent does not affect processing that occurred before withdrawal.
8. International transfers
Some providers may process information outside the United Kingdom, including in Singapore or the United States. Where required, we use an applicable adequacy regulation, the UK International Data Transfer Agreement or Addendum, contractual protections, or another lawful transfer mechanism.
9. How long we keep information
We keep account and project information while your account is active and for only as long afterward as reasonably necessary to close the account, resolve disputes, maintain security, and meet legal obligations. Public-post records and service logs are retained according to operational need and are deleted or anonymised when no longer required. Billing and tax records may be retained for the period required by applicable law. Backup copies are removed through our normal backup lifecycle.
10. Security
We use reasonable technical and organisational safeguards designed to protect information, including access controls, password hashing, signed verification links, and restricted service credentials. No online service can guarantee absolute security.
11. Your rights
Depending on the circumstances, UK data-protection law may give you rights to access, correct, erase, restrict, or receive a copy of your personal information, and to object to certain processing. Where processing relies on consent, you may withdraw it at any time without affecting earlier lawful processing.
Contact hello@markai.io to exercise a right.
12. Business users and children
MarkAI is a business service and is not intended for children or for personal or household use. You must be at least 18 years old and authorised to act for the business you represent.
13. Changes to this policy
We may update this policy as MarkAI, our providers, or legal requirements change. We will publish the updated date and provide additional notice where a material change requires it.
